Agency Capacity: Campaigns, Clients and Tracking Usage

If you choose software for an agency, you need capacity for the client work and people you intend to support. For agency use, compare the number of client campaigns, their combined tracking usage, and staff access.

One client is one campaign

A campaign holds a single client's market definition: the business description, its brands, its competitors, and three buyer personas besides a neutral one. Every report then selects results against that definition.

The practical benefit for an agency is that onboarding is one setup rather than one per tool. The same definition provides context for the client's tracked prompts, mention monitoring, prospect searches, link gap analysis and content checks, so a new client is configured once.

Campaigns can be archived. An archived campaign stops collecting, keeps its history and frees its slot immediately for another client. No more than three campaigns can be activated in any seven-day period.

The paid beta includes up to 30 active campaigns. After the beta the three plans pair 30, 10 and 3 active campaigns with weekly tracking allowances of 10,000, 3,000 and 1,000 credits.

Tracking usage pools across clients

Tracked prompts and keywords are account-level objects rather than being owned by a campaign, and the weekly allowance belongs to the account. So a demanding client can be given more collection while a quiet one uses less, without buying capacity per client.

An item can also be associated with several campaigns at once. Where two clients compete in the same market, one tracked prompt can appear in both their reports and is collected once.

The counting rule is one credit per tracked item, per provider, per day:

providers chosen × days ticked = credits per week per item

Worked arithmetic for a client list

A ten-client agency, tracking each client twice a week:

  • 60 prompts per client across three providers, twice a week: 60 × 3 × 2 = 360 credits.
  • 100 keywords per client across two engines, twice a week: 100 × 2 × 2 = 400 credits.
  • Per client: 760 credits a week. For ten clients: 7,600 a week.

Now change one thing. Moving to five days a week takes the same ten clients to 19,000 credits, which is two and a half times the cost for data that most client reports would not use.

The lesson generalizes. Frequency, not client count, is what usually exhausts an allowance. Decide how often a number must change before it would alter your advice to the client, and buy that frequency.

A practical arrangement is to run most clients weekly and give the two or three with live work a higher frequency. The pooled allowance supports that directly.

Staff access

OppAlerts is not sold by the seat, so the number of your staff using it does not change the price. That is a real difference from several tools in this category, where extra users are charged monthly.

There is no separate client login and staff cannot be restricted to particular campaigns. The workspace role is the access boundary; a campaign is an organizing unit, not a permission boundary.

If client-facing access or per-user restriction is a requirement of your client contracts, ask before purchasing rather than assuming from the campaign structure.

What to check before committing a client roster

  1. Count your current clients, add the ones you expect to win this year, and check that number against the included campaigns.
  2. Work out weekly credits for the roster using the multiplication above, at the frequency you would report on.
  3. List which of your existing subscriptions this would replace and which you would keep. Site auditing, outreach sending, email verification and social listening are all outside this product.
  4. Confirm what your client contracts require in terms of access and reporting.

Before committing the agency, calculate usage across the planned client campaigns and check staff access. That gives you a capacity estimate based on the work you expect to run.
